1Who We Are

Hello!parent is a private school portal for parents of enrolled students. It provides their child's attendance and school records, along with class photos, videos, school announcements and activities.

This Privacy Policy applies to the Hello!parent Android application, web portal, and associated backend services.

2What Information We Collect

We collect only the essential information needed to provide school information to authorized parents:

• Educator/Teacher Profile: Staff name, institutional email address, assigned class, and role
• Student & Classroom Records: Attendance entries, assessment marks, activity photos/stories, and announcements published by the teacher
• Homework & Quiz Records: PDF homework files you choose to submit, optional notes, submission dates, the linked student's identity, teacher review status and feedback, and saved quiz answers and results
• Parent and Authentication Data: Registered parent name, phone number, optional email, and session credentials
• Device & Access Logs: IP address and login timestamps for security and access verification, and a device notification token when notifications are enabled

3How We Use Your Information

Information collected is used strictly to support school operations:

• Signing parents in using the parent phone number registered by their school
• Showing authorized parents their child's attendance, results, and school records
• Publishing school activities, updates, and announcements for parents
• Sending homework to authorized school staff, showing their feedback to the submitting child's parent, and saving quiz results
• Maintaining audit logs of administrative changes for institutional security

School announcements can include selected files such as PDFs, Word documents, spreadsheets, media and other attachments, together with website links. The service stores the uploaded bytes, filename, type and size. Opening an external link connects to that website; downloading a file saves a copy on your device.

We never sell or monetise educator or student data under any circumstances.

4Data Storage & Security

All data processed by Hello!parent is protected by industry-standard security protocols:

• Signed session tokens for authentication; web sessions use HttpOnly cookies, and the Android app stores its session token on the device
• School records and uploaded media stored in the school service database; selected school records cached on your device
• All traffic encrypted via HTTPS/TLS in transit
• Strict role-based access control preventing unauthorized data access

5Retention & Account Requests

Gallery photos, videos, library stories, and permanent announcements stay available until the school removes them. Temporary announcements expire at the time selected by the school. School stories stop appearing after 24 hours. Deleting school content removes it from the app; service backups may retain previous records according to the school service's backup schedule.

School records are retained by your school for its educational and administrative needs. The school determines applicable record retention periods. Selected school records are cached on your device to support reopening the app; uninstalling the app or clearing its storage removes this local cache.

Submitted homework PDFs, notes, review status, and teacher feedback are stored by the school service. Submission records remain available until the school removes the associated assignment or student record. Removing a record from the app may leave its uploaded file in service storage or backups; contact the school to request removal of associated stored files. Clearing your device's storage does not delete homework or quiz results already saved with the school.

Parent access uses the phone number registered in the student's school record. No student password or private sign-in code is required. To request correction, account deletion, or deletion of associated personal data, contact your school administrator or 2hello.parents2@gmail.com. Include your registered phone number, school name, and the student whose records the request concerns. School records that must be retained for legal or school administration requirements may be kept; the school can explain what is retained and why.

Service Providers and Optional Features

The school service uses hosting and database providers to operate the app. If enabled, notification delivery uses Firebase Cloud Messaging and password-recovery email uses the configured email provider. Embedded videos and web fonts connect to their providers when loaded.

If you use an optional AI chat feature, the messages you submit are sent to the configured AI service to generate a response. Avoid including personal student information in chat messages. Contact your school for details of its enabled services.
